Scheduling in Crossbar

Crossbar is the primary scheduling tool for team calendars. Team managers should understand which events are added automatically and which events require manual entry so families receive accurate and timely schedule information.

Some events are added to the team calendar automatically through league, tournament, or club scheduling systems. These events are typically controlled outside of the team and may have limited editing options for team staff.

GAMES

Teams that participate in leagues or tournaments using Gamesheet or Time to Score (Defender) will typically have those games added automatically to the team calendar. This includes regular season games and most exhibition games against league opponents where results do not affect standings.

Automatically scheduled games cannot be edited or removed by team staff. If a game time, location, opponent, or cancellation needs to be changed, the update must be completed by the league or tournament scheduler.

PRACTICES

On-ice practices that use one of the club’s assigned ice slots will be added to the team calendar by the club. This helps the club track ice utilization and monitor the number of touches for each team.

Team coaches and managers are responsible for adding events that are not created automatically. Manual entries should be complete, accurate, and added as early as possible so families can plan accordingly.

GAMES

Games against non-league opponents must be entered manually by a member of the team staff. When adding a game, include the opponent, date, start time, rink, location, and any important arrival or uniform notes.

PRACTICES AND OTHER TEAM EVENTS

Practices and other team events that do not occur during one of the club’s assigned ice slots may be added manually by team staff. Examples include team meetings, dryland training, video review sessions, team meals, community events, and other team activities.

Before publishing a manually scheduled event, confirm that the date, time, location, and event details are correct. If an event changes after it has been published, update Crossbar promptly and notify families when appropriate.
