Refund Policies

Refund policies for each program are listed below. If you have any questions about these policies please contact the club treasurer.

Co-ed Travel

Refunds will not be made for players who elect to leave the Club once they are assigned to a team. This policy also applies to players who cannot play due to injury. Fees are based on the level being played, not on the age of the player.

Girls Travel

Mite Programs

Other Club Activities

For other activities offered by BYHC that have a cost associated with it, there are no refunds offered.

Pony Tail Tournament

TOURNAMENT REGISTRATION AND REFUND POLICY A team's tournament entry is not considered confirmed until full payment of the $1,950 registration fee has been received. TEAM WITHDRAWL AND REFUNDS -Teams withdrawing more than sixty (60) days prior to the tournament start date will receive a refund of all registration fees paid, less a $300 administrative fee. -Teams withdrawing between thirty-one (31) and sixty (60) days prior to the tournament start date will receive a refund of 50% of the registration fee. -Teams withdrawing thirty (30) days or less prior to the tournament start date are not eligible for any refund. All withdrawal requests must be submitted in writing by the team's authorized representative and will be effective on the date received by the tournament director. Requests for withdrawal can be emailed to tournament director, Julia Rodricks via Jula.Rodricks@byhc.org or girlshockey@byhc.org. REPLACEMENT TEAMS If a withdrawing team provides a replacement team that is accepted by the tournament and pays the full registration fee, the withdrawing team may receive a refund of its registration fee less the $300 administrative fee, regardless of the withdrawal date. DIVISION AVAILABILITY Tournament divisions are subject to sufficient team registrations. The tournament reserves the right to combine divisions, adjust division formats, or place teams in a comparable division when necessary to provide a competitive tournament experience. If the division for which a team registered does not have sufficient participation, the tournament will make reasonable efforts to offer the team placement in an alternative division. If no suitable alternative division is available, the team may elect to withdraw and receive a full refund of all registration fees paid. A team's decision not to participate in an alternative division offered by the tournament shall not automatically entitle the team to a refund. Any refund requests under these circumstances shall be reviewed by the tournament committee on a case-by-case basis. FORCE MAJEURE No refunds shall be required if games are canceled, shortened, interrupted, or modified due to circumstances beyond the tournament's reasonable control, including but not limited to severe weather, natural disasters, public health emergencies, government actions, power outages, facility closures, labor disputes, or other unforeseen events. TOURNAMENT CANCELLATION BY ORGANIZER Full refunds will be issued only if the tournament or a division is canceled by the Tournament Director. If the tournament begins but cannot be completed, refunds, if any, will be determined by the tournament committee based on games completed and non-recoverable tournament expenses. By registering for the tournament, teams acknowledge and agree to the terms of this refund policy.
